The July Route Report: A Guide to the Short Window Before School Start

July is when things start moving fast.

Student data begins arriving, routes start taking shape, and the countdown to the first day of school suddenly feels very real. For many transportation teams, this is the most compressed planning window of the entire year.

Start With a Timeline

Before diving into routing work, it helps to step back and establish a clear timeline for the rest of the summer.

Identify the key dates your team is working toward:

  • Parent notification timelines

  • Driver training and route review periods

  • The first day of school

A simple timeline helps keep everyone aligned and prevents last-minute surprises as the start of school approaches.

Clean Up the Data Before You Route

As student data imports into your system, the first priority is making sure that information is clean and accurate.

Small data issues now can create major routing problems later.

Common July cleanup tasks include:

Review Student Data Imports
Confirm that enrollment updates, school assignments, and program placements are imported correctly.

Address Alternate Addresses and Daycares
Make sure daycare stops, alternate pickup locations, and other special requests are entered correctly and tied to the appropriate schedules.

Validate Student Stop Assignments
Review stops to ensure students are not walking farther than allowed, crossing restricted streets, or exceeding ride time thresholds.

Confirm Eligible Riders Are Included
Double-check that all eligible students have transportation assigned and none were missed during the import process.

Review Special Education Transportation

July is also a key moment to confirm that special education transportation needs are fully accounted for.

This includes:

  • Verifying transportation accommodations listed in IEPs

  • Confirming student assignments to the correct routes

  • Ensuring vehicles are properly outfitted with required equipment

  • Double-checking driver or aide assignments where needed

Many districts also use this time to call and verify transportation plans with families, which can prevent confusion once school begins.

Build and Validate Routes for Fall

Once your data is clean, routing work can begin in earnest.

As routes take shape, it’s important to review them with both safety and practicality in mind.

Look closely at:

  • Stop placement and student walking distances

  • Ride time thresholds and route balance

  • Street crossing considerations

  • Vehicle capacity and load distribution

Even small adjustments during this stage can prevent major issues once buses start rolling.

Don’t Forget Parent Notifications

As routes become final, families will soon start looking for information.

July is a good time to confirm that notification systems are ready for back-to-school communication.

Make sure:

  • Parent apps and portals are functioning properly

  • Back-to-school transportation forms are ready to distribute

  • Route notifications are scheduled according to district timelines

Clear communication early helps reduce confusion and call volume once school starts.
